Audio Visual production is very involved and understanding everything you need to produce a meeting, whether live, virtual or a hybrid of the two, can feel daunting. Let’s start planning with a Blue Spark Discovery Session.
Understanding what you hope to achieve by meeting’s end plays a huge impact on how you design a conference. If we can understand that from the beginning, we’re better able to guide you through the planning process.
This is very important to know upfront. How are you going to provide your content to attendees?
Much of your event’s story will be told through your presentation content and that content will be conveyed with your Audio Visual selections and queues. Audio Visual is the backbone of every business theater, general session, breakout or story-telling area of your conference. Much like a television studio, each detail is designed, rehearsed and executed to create a flawless presentation that communicates your story.
Chances are you don’t have a formal conference agenda prepared at this point. But, you might have an agenda from previous years you can use as a starting point. If not, even a vague outline of events is extremely helpful. Don’t forget to consider an operations agenda that outlines all of your behind-the-scenes details such as load-in, set-up, strike, etc. The timing and coordination of these elements, when done properly, will create a headache-free event, leaving you to focus on more important things.
Are you looking for a modern stage set with clean lines and white lights? Perhaps you’re envisioning lasers, moving lights and branded gobos? Do you want to see the presenters and audience on screen through the use of imag? Maybe you want to add a kabuki drop to reveal a new product? You may prefer to do a ‘Happy Faces’ video at the end of the conference to showcase your attendees’ experience and highlight the impact your event has made. Any of these things are possible and so much more, with a little conversation and a lot of design.
Generally. audio visual costs will consist primarily of equipment and labor. By planning efficiently and effectively from the start, we will ensure get the most bang for your buck and are able to fully realize your ROI when your event is over.
