Position: Assistant Producer
Office Location: 635 West Highway 50, Suite B, Clermont, Florida 34711
Experience: Five years of event experience and three years of administrative experience
Compensation: Dependent on Experience, Hourly, 9am to 5pm, Monday through Friday
Percent of Travel: 0% – This position is not onsite for events.
Language: English (read, speak, and write)

Job Description: This role has dual responsibilities of excellent event planning (with limited amount of supervision) and essential administrative duties. The role will report directly to the CEO| Executive Producer (Owner).

We are looking for someone who is not utilizing this job as a steppingstone. We want a seasoned professional who gets joy from the tasks required and who is a great team player. This is not an entry level event planning job. It is a high-performing event planning position with some administrative duties.

Responsibilities: Event Duties:

  • Assist with proposal preparation, revisions, invoicing and general account organization.
  • Negotiate event space contracts and food and beverage, order décor, signage, entertainment, table, and room décor, etc.
  • Liaison between vendors, hotels, and clients to ensure all program details are communicated properly.
  • Research vendors nationwide to provide clients with the highest quality goods/services at the best value.
  • Propose new ideas to improve the event planning and implementation process.

 Administrative Duties:

  • Respond to internal and external inquiries on behalf of the CEO| Executive Producer.
  • Write, edit, or coordinate the preparation of any correspondence, reports, or other printed materials, research content items for correctness of presentation and applicability.
  • Maintain a variety of confidential records and files.
  • Administration of assigned special, recurring, or regular projects; complete reports as needed.
Requirements:
  • At least five years of event experience
  • At least three years of administrative experience
  • High level of character and positive attitude
  • Ability to learn and be proactive with tasks
  • Excellent organizational and time-management skills
  • Advanced MS Office skills
  • Adaptable in an entrepreneurial work environment
  • Work independently in the absence of supervision
  • Excellent communication skills
  • Undergraduate degree in business administration, sales or marketing, hospitality (preferred, but not required)

Job Description: This is an in office meeting planning and onsite event management position. The role will report directly to the CEO | Executive Producer (Owner).

We are looking for someone who is not utilizing this job as a steppingstone. We want a seasoned event producer who takes ownership of an event and who finds joy in executing all tasks for the client onsite. This is not an entry level event planning job.

Responsibilities:  Event Producer in-Office Duties:

  • Finalize event space contracts and food and beverage, order décor, signage, entertainment, table, and room décor, etc.
  • Liaison between vendors, hotels, and clients to ensure all program details are communicated properly.
  • Creation of all event execution documents including but not limited to preparing hotel resumes, vendor resumes, management sheets for onsite execution, updating final invoicing, etc.
  • Maintain a variety of confidential records and files from all events for audit purposes.
  • Administration of assigned special, recurring, or regular projects; complete reports as needed.
  • Prepare and communicate with all vendors on invoicing and general account organization.
  • Close out all files for events once complete.
  • Propose new ideas to improve the event planning and implementation process.

 Event Producer Onsite Duties:

  • Onsite execution of each event from start to completion.
  • Lead onsite staff to produce event.
